Privacy Policy

ReplyMaid ("ReplyMaid," "we," "us") is a service of ARKA Investments LLC, a Tennessee limited liability company. ReplyMaid helps business owners respond to their customer reviews. This policy explains what information we collect, how we use it, and the choices you have. We've tried to write it in plain English.

Information we collect

• Account information you give us: your name, email address, business name, and the details you provide during setup (for example, your services, staff first names you allow us to mention, preferred tone, and phrases you like to use).
• Google Business Profile data (with your permission): if you connect your Google Business Profile, we access your business's basic profile information (such as business name, location, categories, and hours) and your customer reviews, including reviewer display names, star ratings, review text, and existing replies.
• Service activity: the reply drafts we generate, your approvals, edits, and skips, and records of what was posted and when.
• Basic technical data: standard web logs (such as IP address, browser type, and pages visited) when you use our website or approval pages.

How we use information

• To draft suggested replies to your customer reviews, in your business's voice.
• To send you notification emails when new reviews arrive and, after your approval (or under automatic-approval rules you have turned on), to post replies to your Google Business Profile on your behalf.
• To prepare your monthly summary of review activity and customer themes.
• To operate, secure, and improve the service and to provide customer support.

We do not sell your personal information, and we do not use your information for third-party advertising.

How we handle your Google data

ReplyMaid's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

• We only use Google user data (your business profile information and reviews) to provide the review-response and summary features you see in ReplyMaid, not for advertising, and not for any purpose unrelated to those features.
• We only transfer Google user data to third parties as necessary to provide these features (see "Service providers" below), to comply with law, or as part of a merger or acquisition with notice to you.
• Humans do not read your Google data except with your permission, for security purposes, to comply with law, or when the data has been aggregated and anonymized.

You can disconnect ReplyMaid's access to your Google account at any time in your ReplyMaid settings or at myaccount.google.com/permissions.

Service providers

We use a small number of trusted providers to run ReplyMaid, and we share only what they need to do their jobs:

• AI drafting: review text and your business profile details are sent to Anthropic's Claude API to generate suggested replies and summaries.
• Hosting and data storage: our application and database run on established cloud hosting providers.
• Email delivery: a transactional email provider delivers your notification and summary emails.

These providers are bound by their own confidentiality and security obligations and may not use your data for their own purposes beyond providing services to us, except as permitted by their agreements with us.

Data retention and deletion

We keep your information while your account is active. If you cancel, we delete your account data, including stored reviews, drafts, and your business profile, within 30 days, except for minimal records we're required to keep for legal, billing, or security purposes. You can also email us at any time to request deletion of your data.

Security

We use industry-standard safeguards, including encryption in transit, access controls, and secure credential storage (we never see or store your Google password; connections use Google's own sign-in system). No method of storage or transmission is 100% secure, but we work to protect your information.

Your choices and rights

• You can review and edit your business profile and reply settings anytime in ReplyMaid.
• You can disconnect Google access, cancel service, or request a copy or deletion of your data by emailing support@replymaid.com.
• Depending on where you live, you may have additional legal rights regarding your personal information. We will honor valid requests as required by applicable law.

Children

ReplyMaid is a business tool for adults and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

If we make material changes, we'll notify you by email or through the service before the changes take effect, and we'll update the effective date above.
